Mobile CRM for Field Salespeople: What to Record After Each Visit

Turn every sales visit into useful information: record needs, agreements, pending items, and the next step with a practical routine from your phone.

Mobile CRM for Field Salespeople: What to Record After Each Visit

After a sales visit, the salesperson often leaves with several pending tasks: drive to the next appointment, respond to messages, and notify someone that the customer requested information. In between everything else, important details can remain in memory. A mobile CRM for field salespeople is useful when there is a clear routine for recording what is needed before those details become mixed up with another conversation.

For an SMB, the goal is for any authorized person to understand what happened, what the customer needs, and who is responsible for the next commitment. A brief, concrete, and well-placed note can be more useful than an extensive narrative without owners or dates.

1. Confirm whom you spoke with and the context

Before adding information, verify that you are in the correct contact record. Check the name, company, and a contact detail. If someone else participated in the meeting, record their name and role when relevant to handling the request. Avoid assuming that the person who received the salesperson also authorizes the purchase.

Record the date, the reason for the visit, and whether it was an initial meeting, a technical review, or a presentation. That context makes it possible to interpret the agreements. The expected result is not the same for an exploratory visit as it is for a meeting to define installation requirements.

2. Describe the need with observable facts

Write down what problem the customer described, how they work today, and what condition they consider important. Replace phrases such as “they are very interested” with verifiable information: they need to serve two branches, require training, or are comparing alternatives for a specific project. If a detail is still missing, leave it as pending.

Separate what the customer said from your interpretation. “They asked to review an implementation in November” describes a request. “They will probably buy in November” is an assumption. Maintaining this distinction helps the team prepare relevant responses without turning a possibility into a promise.

3. Record agreements, owners, and dates

Every commitment should answer three questions: what will be done, who will do it, and when it will be reviewed. Include both your company's actions and the materials the customer offered to send. If the date is still open, record who must confirm it and when it was agreed to ask again.

4. Add evidence that helps move things forward

A file can clarify what a note cannot fully explain: a document provided by the customer, the document reviewed, or a relevant and authorized photograph. Identify what it contains and why it matters. Avoid accumulating unnamed versions or saving personal information that you do not need to manage the commercial relationship.personal information that you do not need to manage the commercial relationship.

If there was a previous conversation with another colleague, indicate where it can be consulted within the available records. The person who takes over the case should be able to distinguish the background from the current agreements. It is also useful to note a correction when the visit changes a requirement that previously seemed confirmed.

Hypothetical example: a visit to a distributor

Imagine that you sell equipment maintenance and visit a distributor. The manager explains that she needs service for two locations but still does not have the complete inventory. A useful note would say: “The need for maintenance for two branches was reviewed. The manager will send the equipment list on Thursday. Andrea will review coverage upon receiving it and confirm whether a technical visit is needed.”

The record can also clarify that no start date was agreed upon and that access to the second location needs to be validated. With these details, operations can identify a dependency and the salesperson can prepare the next contact without having to ask for all the information again.

Make the routine workable from your phone

Define a short format that the team can complete after the visit, when stopped and safe to use the phone. Review a sample of records to identify confusing or repetitive fields. If everyone writes too much, shorten the format; if agreements are missing, adjust the questions.
