From Accepted Quote to Service: How to Coordinate Sales and Operations

Organize the handoff from sales to operations with confirmed scope, startup requirements, assigned responsibilities, and a receipt review before starting the service.

From Accepted Quote to Service: How to Coordinate Sales and Operations

The client accepts the quote and the sales team celebrates the progress. Then the questions arise: which version was approved, what needs to be ready to begin, and who will communicate the start date? Coordinating sales and operations at this point helps turn what was agreed into work that the team can prepare and execute.

In a small or medium-sized business, several people may participate on both sides of the process. Even so, it is advisable to make an explicit handoff. The knowledge held by the person who made the sale must be available to whoever will schedule the staff, prepare materials or assist the client during the service.

1. Identify exactly what was accepted

Gather the accepted version of the quote and the corresponding evidence. Check whether there were any subsequent written adjustments. The handoff must make it possible to find the current scope, quantities, deliverables, exclusions, and any relevant conditions. When documents conflict, resolve the difference before presenting them as a definitive instruction.

Include the commitments communicated during the sales conversation, especially if they affect service preparation. If an additional request has not yet been authorized, identify it as pending. The operations team needs to distinguish what was contracted from the possibilities discussed during the negotiation.

2. Review the conditions required to begin

An accepted quote may require additional steps before the work can be scheduled. Depending on the service, documents, measurements, materials, access to facilities, or validation of an agreed payment condition may still be missing. Assign each requirement an owner and a way to verify that it has been resolved.

3. Deliver a brief and useful file

Organize the information in a place accessible to authorized personnel. Include the client's operations contact, the accepted document, subsequent agreements, and a short list of known risks or restrictions. Avoid forcing the team to reconstruct the scope by reading weeks of messages without a clear reference.

The handoff must also indicate who coordinates the service, who answers sales questions, and who communicates changes to the client. In small projects, one person may assume several functions. What matters is that responsibility is defined and that the client knows whom to contact for each relevant matter.

4. Ask operations to confirm receipt

Operations must review the information and confirm whether it has what is needed to prepare the start. If it finds a dependency, record what is missing and who will resolve it. A brief review before committing resources makes it possible to detect ambiguous instructions and dates that still require internal validation.

Establish how the start date will be communicated once the conditions have been reviewed. If sales has already offered a date, include it in the handoff so operations can evaluate how to meet the commitment and point out any difficulty. If a change is necessary, agree on who will explain the situation to the client and what alternative can be offered.

Hypothetical example: installation of an access system

Suppose a small or medium-sized business accepts a quote to install an access system at its office. Sales delivers the approved document, the location, and the administrator's contact information. It also records that the installation must take place outside business hours and that a photograph of the electrical panel is still needed.

Operations reviews the requirements and asks to validate the electrical supply before assigning a date. The coordinator requests the information and records the result. When the conditions are clear, the schedule is confirmed with the administrator. If the client requests an additional door, it is documented as a change requiring a scope review and authorization.

5. Keep changes visible during startup

Once the service has started, record requests that modify what was agreed. Indicate who requested them, their impact, and whether they were approved. Prevent an informal conversation from becoming additional work without sales and operations knowing about the decision. When closing the internal handoff, verify that pending items have an owner.
